List the unresolved decisions
Before ordering a sample set, write down what prevents the project from moving forward. The architect may need a finish comparison, the installer may need to check a hole pattern, and the buyer may need to confirm packaging. One attractive sample photograph does not resolve all three questions.

Choose the smallest useful evidence package
- Color or material choice: request labeled references with the relevant substrate and finish.
- Printed artwork: review a proof, then a physical print when color or production appearance matters.
- Mechanical fit: include the real mating part or an accurately documented interface.
- Edge or assembly detail: request a representative section rather than an unrelated flat swatch.
- Performance requirement: agree a suitable specimen, test method, and reporting scope separately.
For a windscreen, specify whether the evaluation needs only fabric or also a hem and fastening detail. For a sign, identify the thickness, hole arrangement, print side, and artwork to review. For cable ties, confirm material, length, width, and locking type in writing; a familiar product name should not override a conflicting specification.
Reproduce the relevant project conditions
Review color against the intended surrounding finishes and under agreed illumination. ASTM D1729 describes controlled visual appraisal for opaque materials; it does not cover every special-effect finish or make a casual site comparison a standards-compliant test. Pantone also emphasizes physical references for physical color decisions. Record the comparison conditions so another reviewer can understand the result.
For fit checks, use the intended hole, mesh opening, bracket, or mounting surface. Measure rather than relying on perspective in a photograph. Site slopes and irregular substrates belong in the project survey and final interface design; a small sample cannot establish full-scale alignment or prove that a complete installation will perform correctly.
Coordinate reviewers and the delivery plan
Identify who approves each attribute and whether samples need to travel between an office, fabricator, and jobsite. Label every piece so the material and revision remain clear after the original packaging is opened. Keep a shared record of comments instead of merging contradictory instructions informally.
For small samples, confirm the receiving address and an available recipient. Larger first articles or mockups may need pallet delivery, protected storage, and unloading equipment. Door-to-door or site delivery can be arranged under the agreed quote, but installation, crane service, duties, testing, and every accessory are not automatically included. Bulk freight is a separate commercial decision.
Write an approval that can be used
Record the sample ID, drawing revision, checked dimensions, appearance decision, fit result, and unresolved items. Mark an approval as partial when appropriate. An accepted color with a rejected hole pattern should not release the complete part to production.
Retain the reference in suitable conditions and identify who holds it. Send the approved record with a bulk project RFQ, including final quantities and any differences between the sample and requested production. Ask for those differences to be reviewed explicitly before the order is released.
